We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

  • Identity Data includes your email address when you subscribe to our newsletter, and your name, studio or team name, email address and any project link you choose to share when you send a publishing enquiry.
  • Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website.
  • Usage Data includes information about how you use our website, products and services.
  • Marketing and Communications Data includes your preferences in receiving marketing from us and your communication preferences, including newsletter subscription status and consent records.

3. How We Use Your Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Where we need to perform the contract we are about to enter into or have entered into with you.

Your newsletter data is stored securely using Cloudflare Workers KV, a distributed key-value data store with enterprise-grade security. Your data is:

  • Encrypted in transit using HTTPS/TLS
  • Stored in Cloudflare's secure infrastructure with redundancy
  • Protected by strict access controls
  • Subject to rate limiting to prevent abuse

6.5 Data Retention

We will retain your newsletter subscription data for as long as you remain subscribed. If you unsubscribe, we will delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.

6.6 Your Rights Regarding Newsletter Data

Under GDPR, you have the following rights regarding your newsletter data:

Your newsletter data may be stored on Cloudflare's global network, which may include servers outside the UK/EEA. Cloudflare is certified under appropriate data protection frameworks and provides adequate safeguards for international data transfers in compliance with GDPR.

7. Publishing Enquiries and Contact Form

When you contact us about our publishing services through the form on our Publishing page, we collect the information you provide: your name, your studio or team name (optional), your email address, a link to your game (optional), the package you are interested in, and your message. We also record the date of your enquiry, and our infrastructure logs your IP address for security and rate-limiting purposes.

We process this data on the basis of taking steps at your request prior to entering into a contract (GDPR Article 6(1)(b)) and our legitimate interest in responding to business enquiries (Article 6(1)(f)). We use it only to consider and respond to your enquiry and to discuss a potential engagement with you. We do not add you to any marketing list.

Enquiries are stored securely in our own Cloudflare database, hosted on Cloudflare's network, and are accessible only to Fieldcraft Games staff through an access-controlled internal dashboard. When an enquiry arrives we also send ourselves an email notification containing your submission, so we can respond quickly. We do not send your enquiry to any third-party messaging platform or CRM service. We retain enquiry data for up to 24 months after our last contact with you, or longer only where an engagement proceeds and records are needed for contractual or legal purposes. You can ask us to delete your enquiry data at any time using the contact details below.

8. Form Security (Cloudflare Turnstile)

Our forms are protected by Cloudflare Turnstile, a privacy-focused verification service that helps us block automated spam. When you submit a form, Turnstile may process technical information about your browser and connection (including your IP address) to distinguish people from bots. Turnstile does not use advertising cookies. Cloudflare processes this data as our service provider; see Cloudflare's privacy documentation for details.

9. Your Legal Rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to request access, correction, erasure, restriction, transfer, to object to processing, to portability of data and (where the lawful ground of processing is consent) to withdraw consent.
